When
you have several people entering data in your database, you can define how
users must enter data in specific fields to help maintain consistency and to
make your database easier to manage. Many
people are nowadays exclusively involved in data entry, while certain workers,
like programmers, might have to occasionally enter data while performing other
tasks. Hence getting the punctuation spacing right is an important aspect of
the data entry process.
Data entry is the act of transcribing
some form of information into another medium, usually through input into a
computer program. The whole lot of data that people might transcribe includes
handwritten documents, information off spreadsheets, and sequences of numbers,
as well as computer code and even names and addresses.
Here are a few spacing rules that need
to be kept in mind while performing the data entry task:
1. Space once after a comma (,)
2. Space once after a semi-colon (;)
3. Do not space before or after a hyphen (-).
4. Space twice after a colon (:)
5. Space twice after the punctuation (. ? !) at the
end of a sentence
6. Space once after a period (.) used with initials
or titles
7. Space once before an open parenthesis [ ( ] but
do not space after it
8. Space once after a closed parenthesis [ )] but do
not space before it.
9. Do not space between the number and the number
sign (#). (The sign before a number means number and after a number it means
pounds.)
10. Space before and after the ampersand (&).
11. Do not space between the dollar sign ($) and the
number.
12. Space once before and after the "at"
symbol (@), except in e-mail addresses.
13. Do not space between the number and the percent
sign (%).
14. Do not space before or after the forward slash
(/).
